Ezycampus ERP (“Ezycampus”, “we”, “us”) provides school and college management software from Erode, Tamil Nadu, India. This Privacy Policy explains what personal data we collect, why, how we protect it, and the rights you have as a Data Principal. It applies to our website, the pilot questionnaire, and our applications (collectively, the “Services”). 1. The data we collect

Information you give us

• Demo & pilot enquiries: name, role, institution, email, phone, city, approximate student count, website, and the answers you provide in the pilot questionnaire.
• Account data for staff/operators who use the Services.
• Communications you send us (support requests, emails).

Information we collect automatically

• Device and usage data (IP address, browser, pages viewed) and cookies/analytics used to run and improve the site.

Data we process on behalf of institutions

When an institution uses Ezycampus, we process student, parent, and staff records on that institution's instructions as a Data Processor. The institution is the Data Fiduciary for that data and is responsible for the notices and consents it must provide to its own users.

2. How we use your data

• To respond to enquiries and set up and run your pilot.
• To provide, secure, support, and improve the Services.
• To send service and (where you have opted in) product communications.
• To comply with law and enforce our terms.

3. Legal basis & consent

We rely on your consent (which you may withdraw at any time) and on the legitimate uses permitted under the DPDP Act. When you submit the pilot questionnaire, you verify your email and agree to this policy and our Terms. Withdrawing consent does not affect processing already carried out.

4. Your rights as a Data Principal

Under the DPDP Act you may:

• Access a summary of the personal data we hold about you and how it is processed.
• Correct, complete, or update your data.
• Erase your data where it is no longer needed for the purpose collected.
• Nominate another person to exercise your rights in the event of death or incapacity.
• Grievance redressal — raise a complaint with our Grievance Officer (below).

5. Sharing & processors

We do not sell your personal data. We share it only with service providers who help us run the Services — for example hosting, email/SMS delivery, and payment gateways — under contracts that limit them to our instructions. Personal data is hosted in India. We may disclose data where required by law.

6. Retention

We keep personal data only as long as needed for the purposes above or as required by law, then delete or anonymise it. Enquiry and pilot data is retained while we are in contact and for a reasonable follow-up period thereafter.

7. How we protect it

• Encryption of sensitive fields at the database and application layer, and encryption in transit (HTTPS).
• Role-based access control, multi-factor authentication for staff, and append-only audit logging.
• Tenant isolation (separate databases per institution) and soft-delete with anonymisation for erasure.

8. Cookies & analytics

We use essential cookies to run the site and limited analytics to understand usage. You can control cookies through your browser settings.

9. Children's data

Student data (which may relate to children) is processed on behalf of institutions under their instructions and the consents they obtain from a parent or lawful guardian, as required by the DPDP Act. We do not knowingly collect children's data directly through our marketing site.
