How to choose a school ERP: a practical checklist

Choosing an ERP is a multi-year decision. A slick demo can hide gaps that only surface after go-live. Use this checklist to evaluate options on what actually matters.
Does it fit how you already work?
Your fee structures, grading patterns and workflows are specific. The system should bend to them — not force you to change how you operate. Ask to see your exact fee heads and report card format configured, not a generic sample.
Will your team adopt it?
- Is the interface fast and clear for office staff and teachers?
- Is there a real parent and student app, not just a web login?
- Is onboarding, data migration and training included?
Is it one connected system?
Point tools that don't talk to each other recreate the very problem you're solving. Admissions should flow into records, records into fees, attendance into eligibility. Data entered once should appear everywhere it's needed.
How is your data protected?
You're trusting a vendor with children's data. Look for encryption, role-based access, audit logs and alignment with the DPDP Act 2023 — and ask where the data is hosted.
Can you try before you commit?
The best way to de-risk the decision is a pilot on your own data. If a vendor is confident, they'll let you run one. That's why Ezycampus offers a free pilot — you prove the value first, and billing only begins if you continue.
The right question isn't 'what features does it have?' — it's 'will our team actually use it every day?'
